VENDOR & EXHIBITOR FAQs
1. What is the anticipated attendance?
Our events typically generate 500+ attendee registrations with a diverse audience of entrepreneurs, small business owners, working professionals, college students, community leaders, local families, and the general public.
Please note that registrations do not guarantee attendance. Because our events are free and open to the public, we do not take account of event day attendance. We do not scan tickets, and there are no entry fees or barriers. Often, attendees show up to the event unregistered.
Actual turnout may vary due to weather, scheduling conflicts, competing activities, and other factors beyond our control.
We encourage exhibitors to approach each event as an opportunity to increase brand visibility, build meaningful relationships, generate leads, and acquire new customers.
2. How is the event being advertised?
We utilize a multichannel marketing strategy to promote our events. The extent of paid advertising and promotional activities depends on available funding, sponsorships, and event resources.
Our marketing efforts may include:
- Radio advertising
- Paid social media advertising
- Organic social media marketing and community engagement
- Email and text marketing campaigns
- Local media outreach and event listings
- Community partnerships and cross-promotion
- Promotional collaborations with participating exhibitors
All exhibitors are required to actively promote their participation. Event promotion is a shared responsibility, and collective marketing efforts help expand our reach.
3. Are tents, tables, and chairs provided?
No. All exhibitors are responsible for providing their own equipment, including tents, tables, chairs, displays, signage, table covers and other materials necessary for their booth setup.
Exhibitors must ensure their equipment is appropriate for their assigned space and complies with event and venue requirements.
4. What time is vendor setup?
Detailed setup instructions, including arrival times, unloading procedures, parking information, and booth assignments, are communicated to confirmed exhibitors within 30 days of the event.
All exhibitors are expected to follow the designated setup schedule and be fully prepared before the event opens to the public.
5. How many vendors participate in the expo?
Our expos typically feature 50+ participating exhibitors, representing a diverse range of products, services, industries, and business categories.
The final number of exhibitors depends on venue capacity, event layout, and available spaces.
6. How many vendors are allowed per category?
We strive to maintain a diverse exhibitor marketplace while providing opportunities for businesses across multiple industries.
Merchandise and Product Vendors: We generally allow up to 4 exhibitors per product or merchandise category.
Prepared Food Vendors: We typically allow 1 hot food vendor per food genre. For example, wings, hamburgers, and soul food are considered separate food genres. We typically allow up to 4 dessert vendors.
Beverages: All beverages should be alcohol free unless approved by event management, venue management, and appropriate permits are obtained. We typically allow up to 3 beverage vendors.
Direct Sales and Independent Consultants: Only 1 representative per direct sales company is permitted. For example, only one Mary Kay consultant may participate in a particular event.
Professional Services and Organizations: We welcome a variety of service-based businesses and organizations, including business coaches, insurance agents, nonprofit organizations, attorneys, financial service providers, and other professional service providers.
Category classifications and exhibitor placement are determined by event management.
We do not offer vendor exclusivity because our mission is to serve the community. Exclusivity may be available to official sponsors and partners when expressly stated in a written agreement.
7. What are the requirements to participate?
We expect participating exhibitors to operate as legitimate businesses and maintain an active business registration with their respective state, where legally required. All exhibitors are required to sign a vendor agreement before participation.
